These terms are between CrewHelix and you — both you personally as the person signing in, and the organization you sign in on behalf of. If you are accepting for a company, you’re confirming you have authority to do that.
Every person on CrewHelix has their own account and their own organization. A one-person business is a full organization here, with the same standing as a hundred-person contractor — larger companies are simply organizations with more people in them. That structure matters for the rest of this document, because you can hold more than one position at once: an employee of one organization can also take part in another organization’s project from the outside, and these terms cover you in both roles.
2CrewHelix is software for running construction work: projects and phases, schedules, daily logs, crew attendance, jobsites, drawings, estimates, budgets, and billing between organizations. We provide the tool. The work, the decisions, and the records are yours.
3Please keep your sign-in to yourself. Activity under your account is treated as yours, and you decide who to invite into your organization. If you think an account has been compromised, let us know as soon as you can and we’ll help you secure it.
To hold an account you need to be old enough to work lawfully where you are.
4You own what you and your crew put into CrewHelix. We store and process it to run the service for you, and we do not sell it. Our Privacy Policy covers what we collect and why.
You can export your data at any time. When a project closes, when a subcontractor finishes, or when someone leaves a company, each party keeps their own copy of the records they were entitled to see. That is a deliberate design choice, not a courtesy — people should not lose their own job history because a relationship ended.
Where several organizations work on one project, each one keeps the records of its own participation. Being a project’s owner does not give you ownership of another company’s internal records, and working on someone’s project does not give you theirs.
5CrewHelix records clock-ins, clock-outs, and daily logs as your crew enters them, and can note whether a punch happened inside a jobsite’s geofence. These are records of what was entered — they are not a payroll determination and not legal advice.
You remain the employer. Wage and hour rules, overtime, breaks, recordkeeping, and any notice or consent you owe your workers stay with you, because they follow from employing people rather than from using our software. Where your jurisdiction requires you to tell workers about location tracking or to obtain their consent, please make sure that’s in place before you turn those features on.
Location is captured only when someone is on site or actively working, and never while off-duty. Personal wellbeing entries such as mood are private to the person who wrote them and are not shown to supervisors.
6CrewHelix helps you prepare estimates, budgets, bills, and payment applications, and track them between organizations. We are not a party to those agreements and we do not move money. What you owe each other, and whether an invoice is correct, is between you and the other organization.
7CrewHelix is built for running construction work, and we ask you to use it for that. A few things are off-limits: breaking the law or infringing someone’s rights, uploading malware, attacking or probing the service, scraping it at scale, working around access controls, uploading other people’s personal data without the right to do so, or misrepresenting who you are or which organization you act for.

8We work to keep CrewHelix running and to keep your data safe, and the field app is built to keep working offline and sync later. We do not promise uninterrupted service. We may change or discontinue features; if we plan to remove something you rely on, we will give you reasonable notice and time to export.
9Paid plans are billed as described when you subscribe. Fees are charged in advance for the period you choose. If we change pricing, we will tell you before it applies to your next renewal, and you may cancel rather than accept it.
10You can stop using CrewHelix and close your organization whenever you like. We may suspend or end an account that breaches these terms, or where the law requires it — and other than in urgent cases we’ll tell you first and give you a fair chance to put it right.
Either way, you get a reasonable window to export your data before it is deleted, and the records each party keeps under section 4 remain theirs.
11CrewHelix, its software, and its branding remain ours, and you have the right to use the service while your account is active. If you send us feedback or ideas we may build on them — we’re glad of it, and to be clear, doing so doesn’t create a payment obligation either way.
12We work hard on CrewHelix, but it is provided as-is: we can’t promise it will be error-free or that it will meet every requirement of your business, and construction carries risks that no software removes. Nothing here excludes liability that cannot lawfully be excluded.
To the extent the law allows, neither of us is liable to the other for indirect or consequential loss, and our total liability for any claim is limited to the fees you paid us in the twelve months before it arose.
Safety on site stays with you. CrewHelix keeps the record of what your team enters; it doesn’t supervise the work, confirm that a task was done correctly, or discharge any duty you owe your crew.
13We may update these terms as the product changes. For material changes we will give notice in the app or by email before they take effect. Continuing to use CrewHelix after that means you accept the updated terms; if you would rather not, you can stop and export your data.
