Budget & job cost

Catch the overrun while it's still fixable.

Every job gets a live cost board, seeded from your accepted bid. As commitments and costs come in, it forecasts where the job will land — not just where it's been — so a variance shows up early, not at closeout.

The cost board

Original to variance, in one row.

Every line carries its whole cost story across nine columns. Change orders roll into Revised, open POs into Committed, booked costs into Actual. Forecast takes whichever is higher — the revised budget, or what you've already spent and committed — and Variance is the gap you watch.

Read it three ways
Flip the whole board between dollars, % of total, and $ per square foot — whichever the room needs.
A ceiling you can't miss
Set a funding ceiling and the board shows what's left of it against the forecast — “$3,400 of $62,000 remaining” — before a line quietly eats it.
Cost-coded end to end
Every line keeps its cost code and CSI ↔ OCC cross-reference from the estimate through to actuals, so job cost reconciles cleanly.

Actuals you confirm, not just enter.

Costs reach the board three ways, and each one arrives tagged with its source — so every number is one you can stand behind.

Purchase orders
Cut a PO and its open balance lands in Committed. As you book costs against it, the board nets them out of Committed and into Actual — so the forecast reflects money you've already promised.
Scan-assisted receipts
Snap a receipt in the field and CrewHelix reads it, suggests the cost code, and drops it in for a quick review-and-confirm. Smart suggestions you approve — never a number you didn't see.
Change orders, on the record
Approved changes fold into the baseline as their own event — the original stays put, and the board keeps a version history you can diff. Re-baseline when the job genuinely resets.

Every actual shows its source. Each cost on the board is badged Rule, Manual, or a confidence-scored suggestion flagged for your review — so when a variance shows up, you can trace exactly which cost moved it.

Cost analytics

What a dollar last year buys today.

Roll every cost up in one reporting currency, then read it through inflation — so a bid you priced last spring and a cost you booked this fall land on the same yardstick.

One reporting currency
Costs booked in different currencies roll up to the one you report in, each converted at the rate on its purchase date — not today's, so history doesn't shift under you.
Now vs. then
Restate past years' costs in today's terms with an inflation index, so year-over-year comparisons are real — not just nominal dollars drifting apart.
Material price trends
Track what you actually paid for a material over time against what inflation alone would predict — so you can tell a real price move from ordinary drift.

Reference figures, not a market feed. Exchange rates and the inflation index come from built-in reference tables you can swap for your own source — a consistent yardstick for comparison, not a live quote of today's market.
